Privacy Policy
Last updated: October 21, 2026
This policy explains:
what information Capron Media collects, and why;
who helps us handle it;
how long we keep it;
what you can ask us to do with it.
It covers our website (capronmedia.com), your client portal, our emails, our social media pages, the services you buy from us, and our contact with people and businesses we may work with.
Capron Media is run by Spencer Capron in Middleborough, Massachusetts. If you have a question about your information, email spencer@capronmedia.com.
1. The short version
We collect information to run your account, do the work you buy, keep our service secure, understand and improve how our website, portal and emails are used, develop our service, and tell businesses about our services.
We do not sell your information, and we do not share it with others for their own advertising.
Service providers help us run our business. The main ones are listed below. We may use others to deliver the service, and the list may change.
We keep your account information for 3 years after cancellation, then we delete it on request, unless the law needs us to keep it longer. Section 5 explains how long we keep other information. You can ask us to delete it sooner.
You can ask to see, correct or delete your information at any time.
2. What we collect
Your account. Your name and email address, the login details you choose, and any other details you add to your account profile. Your account is held by our website platform, Wix.
What you buy. Which subscriptions, SEO Audits, SEO Projects or SEO Consulting you have, with their order numbers and dates. Payments are taken by Wix and its payment providers. We do not receive or store your full card number.
Your website. The address of each website you add, and the access you give us to it. Under a Lite subscription, giving us access to your website is optional. If you give it, we may use it to read information about your website for the features Lite includes, and we do not make changes to your website under Lite. That access can also let us see other information held in your website account, such as form entries, orders or contacts, which may include information about your own customers. For SEO Projects, it can include access to your Google Business Profile and other business listings, and the photos and answers you send us.
Your business details. What you tell us about your business in the "Your Context" pages: what you offer, where you work, who your customers are, and similar facts. We use these to write changes that match your business.
Your website's search and visitor data. If you give us read access to Google Search Console or Google Analytics, we read reports from them about your website: searches, clicks, pages, devices, traffic sources, visits and conversions. These reports give totals for your website, broken down by things like search, page, device and traffic source. For Search Console and Analytics we ask for read-only access, so we cannot change those accounts.
Public information about websites. We read the public pages of the websites we work on or audit. We also collect public search data about them, such as search rankings, local map results, links from other sites and page speed. For an SEO Audit or a free check, this can be any public website you choose. For your subscription, it includes public pages of competing websites. We may also collect public information about businesses and the people who run them that we may contact about our services, about people who review us, and from public posts we read to understand what businesses need, such as forum and social media posts. It comes from websites, directories, review sites, social media and data providers.
What you send us. SEO Consulting and SEO Projects requests, flags and replies in your portal, your answers to our questionnaires and order questions, messages you send through our website chat, emails you send us, and our notes from calls and sessions with you. With your consent where the law requires it, we may also record calls and sessions.
Your email choices. Which emails from us you have chosen to receive.
When you last opened your portal. Our service can record the last time you opened your portal. This is separate from the other records in this section, such as the pages you view and whether you open our emails.
How you use our website, portal and emails. Wix, our website platform, can record how visitors use our website and portal, including the pages you view, the links and buttons you click, the forms you send, the site that sent you, and your IP address, browser and device. When we email you, Wix, or the other email tools we use, can record whether the email was delivered, whether you opened it, which links you clicked and the device you used, and can connect a later visit to our website with that email. We use this to see what is working and to improve our website and emails.
Cookies. Wix, our website platform, and the services it uses set cookies and similar technologies on our website, and keep technical logs. Some are needed for the site to work, for example to keep you logged in, keep the site secure, detect attacks and bots, and protect forms and sign-ups. Others can measure how the site performs, record errors, run site tests, and collect statistics about how visitors use the site. Our providers can change the cookies they use, and if we add a tool such as Google Analytics, it may set its own cookies. You can block or delete cookies in your browser, but parts of our website and portal may then stop working.
System and security records. Our service and our hosting provider log each request our service receives. These logs can include the time, the address requested (which can include your member number), the IP address the request came from and the software that sent it. We also keep a record of events in our service, such as a sign-in that could not be matched to a client. We use these records to run, fix and secure the service.
If you join a waiting list or contact us. Your email address, and if you give them, your name, business and website. We may also record how you found us, such as a referral link, a campaign or what you tell us, and which version of a page or offer you saw.
What we create from it. We create new information from what we collect, such as scores, plans, recommendations, reports, text written with AI, and mathematical summaries of words and pages that let software compare their meaning.
Testimonials. If you give us permission, your name, business and what you said about us.
Social media. If you follow, message, comment on or mention our social media pages, we can see what those platforms show us, such as your name, profile and what you post or send.

4. Who helps us
These providers handle information for us so we can provide our service. Some of them, such as Wix, Google, AI providers and payment providers, also handle it under their own privacy policies and terms, for example to secure their systems, prevent fraud and measure how their own services perform.
Wix. Our website, member accounts, sign-up protection, payments and our emails to you. They receive: Everything on our website and portal: your account, orders and payments, messages and forms, the emails we send you and how you interact with them, cookies, and records of your visits.
Railway. Runs our service software. They receive: Everything our service handles. They also keep our service's logs for a limited period, as section 5 explains.
Neon. Our database. They receive: Everything our service stores, including your website and business details, results, requests, waiting list details, system records, and the information we create from it.
Airtable. Our client records. They receive: Your name, email, member and order numbers, website and business details, and the plans and recommendations we make for your website.
Anthropic. AI that writes, checks and analyzes text, and AI assistants we use to run our service. They can receive: The information we send them for that work, which can include your business details, your requests and messages, search data, and text from your website and public websites.
DataForSEO. Public search data, including what search engines and AI tools show for a search. They can receive: Website addresses, search terms, questions we ask AI tools about your business or market, and your business name and area for local results.
Google. Search Console, Analytics and page speed data; maps; our business email; sign-up protection on our website, such as reCAPTCHA; and Google Business Profile work for SEO Projects. They can receive: Requests for your website's reports and public page speed checks, map locations for your business area, the emails you send us and that we send you from our business address, the information sign-up protection collects to tell people from bots, and changes we make to your business listings.
OpenAI. Comparing the meaning of words and pages, and other AI tasks. They can receive: Your business details, search terms, and text from your website and public websites.
Other providers. Payment processors; the security and performance services our website platform uses, such as Cloudflare and Sentry; and the tools we use to run our business, such as email, documents and customer records. They can receive: The information they need to do that work.
We may use other AI providers to deliver the service. AI providers may keep what we send them for the periods their terms allow, which can be several years, and may use it as their terms permit, for example to check for misuse or to improve their services.
We may also share information:
with your permission, or when you ask us to;
with our professional advisers, such as an accountant or lawyer, where they need it;
with a partner who referred you, to tell them whether the referral led to a purchase;
if the law requires it;
to protect our rights or someone's safety;
with a buyer, if the business is sold. In a sale, this policy would still apply to your information.
5. How long we keep it
Your account and website data: while you have a subscription, and for 3 years after cancellation. Then we delete it on request.
If you delete your account: we keep our client record of you, and our system records, for 3 years after the deletion. Then we delete them on request. Our hosting provider also keeps its own request logs, for up to 90 days, and then deletes them. Wix keeps its own records under its own terms.
Text copied from competing websites: deleted after 90 days, apart from the backup, log and working copies described below.
When you last opened your portal: deleted together with your client record.
Waiting list and contact details, and information about businesses we may contact: as long as we need them for the purposes in section 3 and as the law requires, then we delete them. You can ask us to remove yours sooner.
Records the law requires, such as tax and payment records, for as long as the law requires.
If you have an account but never had a subscription: Wix keeps your account until you delete it, and keeps the records described in section 2 under its own terms. We keep our system records about you, which can include your member number, as long as we need them for the purposes in section 3 and as the law requires, then we delete them.
Backups, logs and copies: deleted information can stay in backups, logs and working copies kept by us and our providers until they are overwritten or deleted.
6. How we protect it
Inside our business, Spencer is the only person with access to your information. He uses software tools, including AI assistants, that work with it on his instructions. Our providers' staff may access it where they need to in order to provide their service. Information travels between your browser and our website over an encrypted connection. Our service and our providers use access controls, and we keep your business separate from every other client's.
No system is perfectly secure. If your information is exposed in a way that puts you at risk, we will tell you, and anyone else the law requires, as quickly as we reasonably can.
7. Your choices and rights
You can ask us to:
tell you what information we hold about you, and send you a copy;
correct anything that is wrong;
delete your information, unless the law needs us to keep it;
stop sending you any email that is not needed to run your account.
To ask, email spencer@capronmedia.com from the email address on your account. We will reply within 30 days. We may ask you to confirm it is you first.
You can change which emails you receive on the Email preferences page in your portal. Marketing emails sent through our website platform include a way to unsubscribe. You can also ask us to stop any marketing email at any time by emailing spencer@capronmedia.com.
You can remove our access to your Google accounts and your website at any time, from inside those accounts. Some of our service will then stop working.
Asking will not change how we treat you.
8. Children
Our services are for businesses. We do not knowingly collect information from anyone under 18. If you think a child has given us information, email us and we will delete it.
9. Where your information is kept
We are based in the United States. Our service runs, and our database is stored, in the United States. Our providers, including Wix, our AI providers and others, may store or process information in the United States and in other countries.
10. Changes to this policy
We may update this policy. When we do, we will post the new version here with its date. If a change affects how we use information we already hold, we will email you before it applies.
